What Uni-Assist Actually Is

Uni-assist (Arbeits- und Servicestelle für internationale Studienbewerbungen) is a non-profit organisation based in Berlin that provides document assessment and application processing services to German universities. It is not a German university, not a government body, and not the APS — it is a separate service that works on behalf of member universities to assess whether international applicants' qualifications meet the relevant entry requirements.

Document submission: you upload digital copies of your documents (academic transcripts, degree certificates, language proficiency evidence, CV, and any programme-specific documents required by the university). Uni-assist then requires certified physical copies of your most important documents — these must be sent by post. This postal requirement is the most commonly underestimated part of the process by Indian applicants who assume the process is fully digital.

VPD (Vorprüfungsdokumentation): for Indian applicants, uni-assist typically issues a VPD — a document assessment report that evaluates the equivalency of your Indian qualifications. The VPD is what the university receives rather than your original documents. Some universities accept the VPD directly; others require additional documents.

Timeline: the uni-assist process typically takes four to eight weeks from submission of complete documents to issuing the VPD. This timeline can extend during peak application periods (typically January to March for summer semester, and July to September for winter semester). Indian applicants should begin the uni-assist process at least twelve weeks before their target university's application deadline to provide adequate time for document certification, postal delivery, and processing.

What Indian Applicants Most Often Get Wrong

The most consistent mistakes Indian applicants make with uni-assist are about timing, document certification, and the distinction between what uni-assist requires and what the university requires.

Timing: beginning the process four weeks before the application deadline is too late. The postal document requirement alone — finding a certified translator and notary for Indian documents, mailing them to Germany, waiting for processing — takes two to three weeks in favourable circumstances. Start at least twelve weeks before the university's application deadline.

Document certification: uni-assist requires notarised certified copies or certified translations of Indian documents (transcripts, degree certificates). What counts as appropriate certification for German purposes is not always the same as what is standard in India. Specifically: translations must be certified by a sworn translator (vereidigte/r Übersetzer/in) recognised in Germany; notarisation must be appropriate to the German standard. Confusing uni-assist with the university application: uni-assist processes your documents and provides an assessment report.
